Offshore vs nearshore staffing for US small businesses

Hand resting on a vintage globe beside a brass compass and notebook on a wooden desk

Nearshore staffing places your team in nearby countries such as Mexico, Colombia or other parts of Latin America, where working hours overlap closely with the US. Offshore staffing usually means countries further away such as the Philippines or India, where costs are often lower and many staff work US hours on a night shift. Nearshore tends to suit roles that need constant live contact. Offshore tends to suit owners who want the strongest value for routine and skilled work.

When owners first look at remote staffing, the choice often gets framed as Philippines versus Latin America. Both regions have strong talent and plenty of experience working with US companies. The right answer depends on the work, your budget and how much real time contact the role needs.

We place staff in the Philippines, so read our view with that in mind. We have tried to be fair about where nearshore is the better fit.

What the terms mean

Offshore

Offshore usually refers to staff in a country far from your own, often across an ocean and several time zones away. For US businesses, the Philippines and India are the most common offshore locations for admin, support and back office work.

Nearshore

Nearshore refers to staff in a nearby country with similar time zones. For US businesses, that usually means Mexico, Central America, Colombia and other parts of South America.

Onshore

Onshore means hiring within your own country, whether remote or in person. It is the benchmark the other two get compared with. Our breakdown of offshore staff vs local hire cost covers that comparison in detail.

Time zones and overlap

This is the biggest practical difference.

Much of Latin America sits within a few hours of US time zones, so a normal local workday overlaps with yours. That makes live calls, quick questions and same day turnarounds easy.

The Philippines is twelve or thirteen hours ahead of US Eastern time depending on the season. Staff who work your hours do so on a night shift, which is common and well established in the Philippine outsourcing industry. Staff who work their daytime give you overnight progress. Our post on working across time zones with a Philippines based assistant explains the options.

If a role needs live contact all day, nearshore makes that a little easier. If the work can be queued, or you are happy with a night shift schedule, offshore works well.

Cost

Costs vary widely by role, experience and provider, so be wary of any single number you see quoted online. In general, Philippine staffing tends to come in lower than comparable nearshore staffing, and both come in well below a local US hire once salary, taxes and benefits are counted.

For reference, delegateit pricing for Philippine based staff starts at $900 a month for a part time Assistant, $1,500 a month full time and $2,200 a month for a Specialist. Our pricing page has the details. When you compare with a nearshore provider, ask for the full monthly cost for the same hours and skill level rather than an hourly rate alone. Our guide to what a Filipino virtual assistant costs breaks down what shapes the price.

Language and communication

Both regions have strong English speakers, especially among people with experience at US companies. English is an official language in the Philippines and is widely used in business and education. In Latin America, English levels vary more by country and individual, though many candidates in client facing roles are fluent. Spanish or Portuguese fluency can be a real advantage if your customers speak those languages.

Whatever the region, test communication directly. A short call plus a written test task tells you far more than any regional generalization.

Cultural fit

Both regions have long histories of working with US businesses. Filipino professionals are widely known for a service mindset and familiarity with American culture. Latin American professionals share many US business norms and are close enough for occasional in person visits.

Fit comes down to the individual and how you manage. Clear expectations and regular feedback matter more than geography.

Which roles suit which model

Roles where nearshore often fits

Sales development with lots of live calls during US hours. Spanish speaking customer support. Roles that need frequent real time meetings with a US team. Technical roles where a nearshore market is especially strong for your stack.

Roles where offshore often fits

Executive and admin assistance. Customer email and chat support, including night shift coverage. Bookkeeping and back office finance. Data entry, research and content support. Marketing support such as social media, design and video editing.

These are tendencies, not rules. Plenty of businesses run live roles from the Philippines on US hours with great results.

Practical questions to ask

Use these to compare providers in either region.

  1. What is the full monthly cost for the hours I need?
  2. What hours will the staff member actually work?
  3. Who employs them, and what benefits do they get?
  4. How are candidates screened for language and skills?
  5. What happens if the match does not work?
  6. What equipment and internet backup do staff have?
  7. How is my data protected?

Mixing both

Some companies use both models. A nearshore team handles live sales calls while an offshore team handles back office work overnight. For a small business with one or two hires, it usually makes sense to pick one and learn to work with it well before adding complexity.

A simple decision guide

Ask yourself two questions.

First, does most of this role require live back and forth with US customers or staff during US business hours? If yes, either model works, but nearshore has an edge on convenience while offshore has an edge on cost.

Second, is budget the main constraint? If yes, offshore usually gives you more hours or more skill for the same spend.

If the answers point in different directions, a short trial with one hire is the best way to find out. Our guide on how to hire a virtual assistant walks through running one.

Scenarios to test your thinking

A dental supply distributor wants someone to answer live phone orders from US clinics all day. Nearshore staff on their normal day could do this comfortably. So could a Philippine assistant on a night shift. The choice comes down to budget and whether Spanish matters for their customers.

A marketing agency wants someone to edit videos, schedule posts and prepare reports. Most of the work can be queued. Offshore is a natural fit, and overnight turnaround is a bonus.

A software company wants a sales rep who joins team standups and books demos all day. Nearshore may be easier, though offshore on US hours is possible.
